Contract Labor Management - Search Employee Profiles

Access: Users assigned the Staffing Dashboard - Action Capable role.

When contract labor requests are submitted to Workforce through the Staffing Dashboard, the request is reviewed and the Workforce team identifies and submits qualified candidates for consideration. Submitted requests are managed in the Facility Scheduler application on the Requests > Contract Labor Requests screen.

A Search Profile option on the Contract Labor Requests screen helps match Workforce confirmed candidates with existing employee profiles in Facility Scheduler. When clicked, existing employee profiles are searched using the information provided by Workforce including any of the following: First and Last Name, HCA 3 / 4 ID, and/or Employee Identification Number (EIN).

Matching employee profiles are displayed. Click the Details button to view additional information such as employee contact methods, skills, and organization information. If a displayed profile is a match, click the Use Profile button to associate the confirmed contract labor request with the employee profile.

No Matches: Users assigned the Employee - Add permission can click the New Profile button to create a new employee profile.
Uncertain Result: If you are uncertain of the profile match, you may enter the contract labor employee’s name, HCA 3 / 4 ID, or EIN in the search field. Both full and partial matches are returned. Again, if a match is found, click the Use Profile button to associate the employee profile with the confirmed contract labor request.
Employee End Date: If a matching profile is identified and it has an End Date, there is an option to remove the end date and re-enable the profile for use directly from within the search results table.

In the example below, one of the Jane Smith candidates matches name, 3 / 4, and EIN, but the profile has an end date of 9/18/2020. The staffer can click the R button next to the end date to remove it. This will automatically reset the Facility assignment to Parallon. If the candidate has an RN skill, the Department will be assigned based on the first letter of the candidate’s last name: RN A-C, RN D-G, RN H-L, or RN Q-Z. Candidates with skills other than RN will be assigned to the OTHER Department and assigned the first skill listed for that department. Once profiles are re-activated, they can be edited to include the facility, department, and skill required to fulfill the assignment.
